Terms of Service

Last updated: July 27, 2026

Agreement to terms

These Terms of Service ("Terms") govern access to and use of IEP SmartGoals (the "Platform"), provided by Codematrix Technologies LLC. By creating an account or using the Platform, you agree to these Terms on behalf of yourself and, where applicable, the school or district that authorized your account.

Accounts and eligibility

  • Accounts are provisioned by a district administrator, school administrator, or via district-approved teacher self-registration.
  • You are responsible for keeping your login credentials confidential and for all activity under your account.
  • Accounts are role-scoped (teacher, co-teacher, school admin, district admin, super admin) and may only be used within that role's authorized scope.

Acceptable use

You agree not to:

  • Access or attempt to access student or staff records outside your authorized role or scope.
  • Share account credentials or allow another person to use your account.
  • Attempt to bypass security controls (rate limiting, CAPTCHA, lockouts, encryption) or probe the Platform for vulnerabilities without authorization.
  • Upload content that is unlawful, or use the Platform for any purpose other than legitimate special-education program management.

Data ownership

The school district retains ownership of all student and staff data entered into the Platform. Codematrix Technologies acts as a data processor on the district's behalf and does not claim ownership of, or independent rights to use, district data.

Subscriptions, payment, and renewal

The Professional Teacher Plan is offered as a one-time annual payment of $40 USD per year. Applicable taxes are calculated automatically during checkout based on your billing location and local tax regulations. School and District plans are licensed under a custom quote and service agreement.

The Professional Teacher Plan does not automatically renew. IEP SmartGoals does not store your credit card or payment information, does not automatically charge your payment method, and does not enroll users in recurring billing. At the end of your subscription period, your account will expire unless you choose to renew it. Every renewal is initiated by the subscriber.

Before your subscription expires, we'll send reminder emails — 30 days, 15 days, 7 days, and 1 day before expiration, and on the expiration date — so you have plenty of time to renew and maintain uninterrupted access. New teacher accounts may include a free 3-month trial; you may cancel anytime before your trial ends to avoid being charged.

Data retention after expiration

Your data is important to us. If your subscription expires:

  • First 90 days: your account remains securely stored. You may renew your subscription or export your data.
  • Up to 3 years: your account and associated data are securely archived. During this period, you may contact Customer Support to reactivate your account and restore access (subject to the terms of your subscription).
  • After 3 years: archived data is permanently deleted from our systems and cannot be recovered.

Archived data includes: student profiles, SMART IEP goals, PLAAFP documentation, progress monitoring records, progress reports, accommodations and modifications, user settings, and school and district configuration (if applicable).

For School and District plans, data is archived for up to 3 years after the contract ends, unless the district requests immediate deletion or a different retention period is specified in the service agreement. Users and administrators may request deletion or a full export of their data at any time, subject to applicable legal and contractual obligations.

Availability and support

We aim for high availability but do not guarantee uninterrupted access. Scheduled maintenance windows will be used for infrastructure changes where practical. Support requests can be submitted through the Platform's contact form or by emailing support@iepsmartgoals.com.

Termination

A district may stop using the Platform at any time and request a full export and/or deletion of its data. We may suspend an individual account that violates the Acceptable Use section above, with notice to the district administrator where practical.

Disclaimer and limitation of liability

The Platform is provided "as is." To the maximum extent permitted by law, Codematrix Technologies LLC is not liable for indirect, incidental, or consequential damages arising from use of the Platform. Nothing in these Terms limits liability that cannot be limited under applicable law.

Changes to these terms

We may update these Terms from time to time. Material changes will be reflected by updating the "last updated" date below; continued use of the Platform after changes take effect constitutes acceptance of the revised Terms.
